Staff & Guest Protection Policy
Registering for an experience at Northern Edge Algonquin is quite a bit different from booking a hotel stay. Because the Edge hosts event-based retreat experiences and adventures much of our planning for your visit takes place weeks, months and sometimes a year in advance.
Your non-refundable registration fee (deposit) allows us make commitments to guides, equipment suppliers, facilitators, on-site support staff. We also make purchases, plan menus and buy fresh food to support programs based on your registration.
The balance of experience fees are due on the day the experience begins. By registering and leaving a deposit with us, guests agree to pay the full cost of the program on the first scheduled day of their experience. For late arrivals this fee will be charged prior to your arrival.
Some of our programs require a minimum level of registrants and once that level is reached our guests make travel arrangements many traveling from Europe and across North America with the assurance that the program will run.
Due to our very high staff to guest ratio, the addition of one or two guests on an experience can result in additional staff making commitments to work with us for the duration of your visit. To ensure the best experience possible, we make commitments to facilitators and guides at the earliest possible date.
Of course the day your experience begins, we are ready for your arrival & all of the expenses incurred to present your complete experience have been incurred.
Cancellations can be made by phone, email, or fax. Please inform us as early as possible if your plans change. If you choose to cancel your visit for any reason, please be advised that the following policies are in place to protect the needs of our staff and guests:
Cancellation Process
More than two weeks prior to arrival: Deposit is held by Northern Edge Algonquin Inc. This deposit may be applied to another program within 12 months. A new non-refundable deposit (also credited toward the cost of your stay) must be made at the time of your next registration.
Within two weeks of arrival: deposit is not refundable and is not applicable to any future visit.
Within 24 hours of arrival time or early departure: deposit and balance of experience fees is non-refundable and by providing the deposit guests agree to pay in full in the case of not attending the scheduled event. Guest agree to pay additional expenses incurred on their behalf to facilitate early departure.
Northern Edge Algonquin reserves the right to require a guest to leave prior to the scheduled end of their stay if such departure is deemed necessary for the wellbeing of our staff & other guests. In such cases a pro-rated refund may be provided after covering expenses related to early departure.
Northern Edge Algonquin reserves the right to cancel any event that is under-enrolled with two weeks notice (or less with the agreement of registered guests). Please note, we hold no responsibility for travel costs incurred in the event of cancellation. Check with your airline or travel planner for cancellation policies upon making travel arrangements. In the case of cancellation by Northern Edge Algonquin, those registered will have the option of applying their deposit toward another event or receiving a full refund. In most cases it is not possible to attend the nature retreat if your event is cancelled, unless guests choose to enroll in another experience occuring at the same time.
